Hike Holiday Treks is a registered trekking company established in Nepal which is located at Uttam Chowk, Kathmandu, Nepal. To ameliorate the country’s tourism sector, much effort is put into making our rendering of services at a level that exceeds the rest. Our customer’s satisfaction and happiness are our foremost priority.
Our trip booking terms and conditions are an important legal agreement between our clients and Hike Holiday Treks for the trip.
Please make sure to carefully read these terms and conditions before filling out the online booking form. They contain important information.
By agreeing to these terms and conditions, you also agree to our cancellation policy and understand any limitations of liability.
If there are any legal disputes or unexpected issues during your trip that aren’t covered in these terms and conditions, both parties agree to work together to resolve them.

While booking, you should provide us with a completed booking form, and a copy of your passport along with a 20% deposit of the total trip cost. If you cancel your trip after booking with us, the deposit will be treated as the trip cancellation fee. You may deposit the remaining cost at least 30 days before the departure day.
For booking a trip at least 10 days before the departure, full payment is necessary.
The remaining amount can be paid upon your arrival in Kathmandu before you set out for your trek/tour.
There are two different ways to make payments and they are as follows:
When you’re ready to make a payment, select the trip package you’re interested in and click on “BOOK THIS TRIP.” Then, complete the necessary information and pay the specified advance amount for the chosen trip.
We welcome last-minute bookings up to 5 days before the trip departure date, provided that there is available space for the trip. In such cases, full payment is required at the time of booking.
Clients are free to cancel their journey any time they want. However, please note that cancelling the trip requires a valid reason and the company’s acknowledgment. Similarly, the trip deposit fee will be considered as a trip cancellation fee.
If you have paid more than the trip deposit, we will deduct the 20% trip deposit from that amount. The remaining balance will then be refunded to you via the original payment method.
With a valid reason, the client is welcome to postpone their journey for another schedule. There is no trip postponement charge. And whatever amount is paid for the original trip, it will be transferred for the future trip. However, clients must travel within two years from the trip postponement date.
If clients are unable to complete the trip for any reason, we do not assume responsibility for reimbursing expenses related to unused meals, accommodation, or services. Furthermore, should clients engage in unlawful activities during the trip resulting in their expulsion from Nepal, we are not liable for any refunds.
In the event of a cancellation by the client after making an advance payment for Nepal Trips, the advance amount will be retained by the company as a lifetime deposit. The client is then granted the freedom to utilize this advance for future bookings.
By making a deposit, you acknowledge and agree to abide by our terms of service. We retain the right to modify our terms of service as necessary. If you have any inquiries regarding our policies, feel free to reach out to us.
All of the trips are conducted under the strict rules and regulations of the tourism board of the respective country. We are not responsible for any alterations or cancellations to the trip due to unavoidable circumstances, such as changes in the country’s rules and regulations, government restrictions, natural disasters, political instability, flight cancellations, delays, illness, accidents, vehicle breakdowns, etc. Any additional costs resulting from such circumstances must be covered by the clients themselves. Hence, it is suggested that clients take out comprehensive travel insurance.
Travel insurance is mandatory for all clients during their travels with us. The insurance must encompass various aspects including weather delays, personal injury, death, medical expenses, repatriation costs, helicopter rescue, air ambulance, trip cancellations, natural disasters, theft of luggage, and loss of equipment.
Please be aware that mountain adventures can be unpredictable, mainly due to uncertain weather conditions. Flight delays and cancellations, especially in mountainous regions, are common. If your flights are delayed at the beginning or end of your trip, clients are responsible for covering extra expenses, like accommodation and food. Similarly, if you wish to make alternative arrangements like a helicopter flight to avoid flight delays, clients are responsible for additional extra costs. Also, we might need to adjust the itinerary due to unexpected situations beyond our control. However, we will try to remain in the original plan as much as possible.
Participants under the age of sixteen must be accompanied by a legal guardian or parent.
To gather essential information from clients during the booking process, the company may ask several questions. Hike Holiday Treks is concerned with protecting private or personal information so any information provided by you for booking purposes will not be used for any other purposes.
By participating in the trip, you consent to our company using images of you captured during the trip for publicity and promotional purposes, without recourse to you and compensation to you, through any chosen medium.

We strive to minimize our environmental footprint, support local communities, and respect cultural heritage. by continuously improving our policies and collaborating with stakeholders, we aim to ensure that our travel experiences contribute positively to the destinations we visit while providing memorable and meaningful experiences for our clients. Thus, we expect clients to follow our guidelines and policies while traversing with us.
In case your trip is canceled due to unforeseen circumstances such as adverse weather conditions, pandemics, natural disasters, or political situations, we will organize an alternative trip for you. While it may differ from your original plan, your investment will not be lost.
The company retains the right to revise and update these terms and conditions as deemed necessary. Clients are responsible for staying informed about any updates. The latest version of the terms and conditions will always be available on our website at www.hikeholidaytrek.com and will serve as a reference in case of any disputes.
